Introduction
Please review the following terms and conditions carefully. You should not proceed with any bookings unless you fully understand and agree to these terms. References to “us,” “we,” and “our” in these Booking Terms and Conditions refer to the owners of “The Perfect Pour.” By making a booking with us, you agree to these terms, which constitute the entire agreement between you and us. The services provided will be as outlined in your booking invoice.
Provision of Beverages
This applies if the agreement states that you are responsible for providing all alcohol, mixers, soft drinks, and water for your event. While we do supply water from a dispenser at the bar, it may not be sufficient for large numbers of guests or extended service times. To ensure your guests stay properly hydrated while consuming alcohol, you must provide individual bottled water, with a minimum of three bottles per guest. In extremely hot weather (above 36 degrees), this amount should be doubled.
'BYO' means you provide the drinks, not that your guests should bring their own. All drinks should be pre-chilled before our arrival. For events with more than 40 guests, we recommend using a cool room near the bar to minimise delays in service.
Bar Service
We provide a bar service from a range of our mobile bars. If you require table service, please inform us at the time of booking, as this will require additional staff and incur extra costs. Our packaged bar service includes only bottled or canned beverages, such as champagne, beer, wine, cider, and premixed spirits. If you wish to have spirits or cocktails served, this must be arranged at the time of booking. Cocktail service will require specialized barware, extra glassware, ice, and additional staff to ensure smooth operation.
Any changes to the drink selection must be communicated at least four weeks before your event, as changes may incur additional fees. Failure to notify us of any changes may result in service delays or incorrect glassware being provided.
We also offer a self-serve water station. For the final 30 minutes of service, we will switch to disposable cups to facilitate the collection of all glassware. Any glassware not accounted for at the end of your event will be retrieved later, and additional charges may apply.
RSA Service
All alcohol must be served by The Perfect Pour RSA-trained staff or as otherwise agreed upon at the time of booking. Our staff are fully trained in the Responsible Service of Alcohol (RSA) and are required to adhere to all relevant laws. Under the Liquor Act 2007, it is illegal to sell or supply alcohol to anyone under the age of 18 or to obtain alcohol on their behalf. Guests who appear under 25 will be asked to provide ID. We are legally obligated to refuse alcohol service to any guest deemed intoxicated. Any guests showing signs of intoxication may be cut off or served at a slower pace, and any uncooperative guests will be denied further service.
Self-service of alcohol is not permitted at any time during the event. All alcohol must remain with the bar, and guests who bring their own alcohol must surrender it to the bar staff. We reserve the right to stop service, close the bar, and remove staff from the venue if you or your guests violate the conditions of our liquor licence or RSA legislation.
While we are present at your event, the mobile bar functions as a licensed venue, and all licensing laws will apply, just as they would in a traditional bar setting. We have a zero-tolerance policy for intoxicated guests. No shots or drinks served on the rocks will be offered. We cannot provide individual spirit service, as this often leads to dissatisfaction and confusion, especially when multiple guests are drinking the same drink from different bottles. The only exceptions to this policy are for the Bride, Groom, or Parents of the Bride and Groom.
Taxes and Surcharges
Surcharges will apply for services booked on public holidays, Christmas Eve, Christmas Day, New Year’s Eve, and for events that extend past midnight. If travel is required to your event on a public holiday (e.g., Good Friday) to provide service on the following day (e.g., Easter Saturday), and return travel is needed on Easter Sunday, these factors will be taken into account and charged accordingly. Please note that all advertised prices include GST.
Accepting of Booking
Once you accept the quote, an invoice will be issued, which will require a 20% non refundable deposit to secure your booking. A formal contract between us will be established once we receive the 20% deposit payment. This deposit confirms your commitment to the booking and ensures that we reserve the necessary resources and staff for your event. Please note that the deposit is non-refundable, but it will be deducted from the total cost of the event. Final payment details and terms will be outlined in the contract.
Booking Deposits
Subject to our rights under the Australian Consumer Law, all deposits are non-refundable in the event of a change of mind or cancellation by you. To confirm your booking, the 20% deposit must be paid within 5 business days of accepting the quote. If the deposit is not received within this timeframe, your booking will be automatically cancelled.
Glassware
Our services include providing the appropriate amount of glassware for your event. For larger events with a high number of guests, we may recommend additional glassware and staff members to efficiently collect, wash, and reuse glasses throughout the event. A glass cleaning fee will apply to ensure all glassware is washed and polished between events.
You are responsible for any loss or damage to glassware caused by you or your guests during the event. Any glassware that cannot be accounted for at the conclusion of your hire will be charged accordingly.
Guest Numbers
You must notify us of the total number of guests attending your event. Guest numbers must be confirmed at least 4 weeks before the date of your booking. Any increase in the number of guests after confirmation may result in additional fees to accommodate the change. A final invoice will be issued once the guest numbers are confirmed, and full payment will be due based on the final count. Please ensure that all details are provided on time to avoid any delays or issues with your event.
Final Payment
Final payment must be received at least 4 weeks prior to your event. Failure to make the final payment by this deadline may result in the cancellation of your booking. If your event is scheduled within 3 weeks of the booking date, full payment will be required at the time of booking to secure your reservation. Timely payment ensures that all arrangements are in place and your event runs smoothly without any issues. Please be mindful of these deadlines to avoid any disruptions to your plans.
Drinks Menu
A drinks menu is required for all events to ensure smooth and efficient service. If you are unable to provide a drinks menu, please notify us in advance. We can create a menu for you at an additional cost. This ensures that your guests have a clear understanding of the beverage options available and allows us to prepare accordingly. Please inform us if you need assistance with the menu well in advance of your event, so we can make the necessary arrangements.
Rubbish
You are responsible for the disposal of all rubbish at the end of the event. Bins must be set up and ready for use prior to our arrival. If you prefer, we can provide rubbish disposal services for an additional cost. This service includes the collection and proper disposal of all waste, ensuring your venue is left clean and tidy once the event has concluded. Please inform us in advance if you wish to arrange this service, so we can make the necessary arrangements.
Weather
You must provide our staff with adequate shelter from the weather, in accordance with WH&S requirements. We reserve the right to refuse service if we do not have proper shelter from the sun, rain, or other adverse weather conditions. If needed, we can provide a 3x3m gazebo for an additional cost.
Liability and Compensation
We will not accept liability or provide compensation if you, your property, or the property of a third party suffer any damage or loss while transporting our bars at your direction. In the event that the bars and setup are not completed before the required time due to weather conditions or any other circumstance beyond our control, we shall not be liable for any compensation.
Media and Promotional Use
We reserve the right to use and release all photographs, videos, and other recordings in which our bars and services are featured. By engaging our services, you grant us a perpetual license to use such images for publicity and promotional purposes. This permission is granted with no expiration period.
Governing Law and Disputes
The laws of New South Wales, Australia, govern these booking terms and conditions to the fullest extent allowable. Any disputes related to our services or these terms and conditions must be resolved in the courts of New South Wales, Australia.
Extension of Service
Any requests to extend service beyond the agreed end time will be discussed at the time of the event and must be paid for immediately.
Alcohol and Glassware Removal
All alcohol will be packed away and removed at the end of the agreed service time. We will notify you of any unaccounted-for glassware, which will incur a charge of $2 per glass.
Event Exit
Exit from the event is required immediately after the bar pack-down. If this is not possible, you must inform us before the event, and a fee will be charged for returning the following day to collect any remaining items.

WE RESERVE THE RIGHT TO AMEND THESE TERMS AND CONDITIONS AS NECESSARY AND WILL MAKE THE UPDATED VERSION AVAILABLE ON OUR WEBSITE FOR PUBLIC VIEWING.
